The direct answer
Start with a site brief, not only a preferred photograph. Confirm the product dimensions, approved configuration, supply scope and local installation arrangements before comparing quotations. A factory quotation and a complete installed-project cost may cover different things.

Prepare a usable site brief
Send wide photographs from several angles and a sketch with units. Mark the desired covered area, doors, drains, roof edges and the location of power. Distinguish overall roof dimensions from clear space between posts; ask who will verify final measurements.
Agree a configuration in writing
List the model, frame finish, fabric or louver colour, controls and any side screens or lighting. Use physical samples for colour-sensitive choices. Keep one drawing revision with the quotation so a change in size or options does not silently change the order.
Separate product supply from site work
Ask which items cover packing, transport, unloading, foundations, assembly, wiring and drainage connections. Identify the local installer and agree what drawings and instructions they need. Do not assume an accessory shown in a photograph is included in the base price.
Plan receipt and handover
Confirm package dimensions and the route from delivery point to installation area. On receipt, compare labels and quantities with the packing list and document visible issues. Keep approved drawings, operating instructions and service contacts together for handover.
