Define the brief and responsibilities
Bring together site photographs, dimensions, preferred use and any drawings. Record the delivery location and whether you need supply only, installation or coordination with another contractor. A shared brief reduces assumptions when different suppliers prepare proposals.
Approve drawings and material references
Review overall dimensions, clear openings, post locations, drainage and control positions. Confirm colors using approved references and record any changes. Establish when the specification becomes fixed and how later changes affect price and schedule; dates should be agreed for the actual order.
Coordinate dispatch and site readiness
Confirm package count, dimensions, handling needs and access before dispatch. Identify who unloads, stores and checks the goods, and how visible transit damage is recorded. Make sure foundations, access, power and the agreed installation team are ready before scheduling assembly.
Inspect, demonstrate and hand over
Check the supplied references against the order and record appearance, opening travel, controls and drainage observations using the agreed method. List outstanding items with an owner and target date. Hand over manuals, serial references, maintenance requirements and warranty contact details, then keep a signed record.
